About the Role
We are looking for an experienced, organised, proactive, and detail-oriented Bid and Communications Coordinator to join our team. In this pivotal role, you will manage and coordinate all documents for bid submissions, ensuring they meet our exacting standards. Based in Edinburgh, and working closely across the practice - often to tight deadlines - you will play a key role in securing new opportunities.

Your responsibilities will include guiding the format and content of submissions, conducting market research, and analysing bid success rates. You will also contribute to award submissions, manage tender portals, and help create compelling communications for internal and external audiences. In addition, take a leading role in developing and managing our social media presence, ensure our digital storytelling showcases the practices work, values and design identity.

Key responsibilities

  • Manage all tender portals, pre-qualification questionnaires, invitations to tender, and interview presentations.
  • Coordinate and oversee bid processes, ensuring submissions are of the highest quality.
  • Arrange and manage all documentation required for submissions.
  • Assist with award submissions, including collating and proofing content.
  • Provide content for our website, social media, newsletters, and project updates.
  • Track and analyse bid success, using insights to inform future strategies.
  • Leading role in our social media team.

What we're looking for

  • The ability to manage conflicting demands, prioritise tasks, and perform under pressure.
  • Exceptional attention to detail and a high level of accuracy.
  • Advanced IT skills; some prior knowledge of Affinity an advantage but not essential.
  • A creative awareness of the written word, image and design.
  • Strong organisational and time management skills.
  • A collaborative mindset, coupled with the confidence to work independently.
  • A personable and approachable demeanour, with excellent communication skills.
  • Relevant prior experience in a similar role.
