Your new role
Property

  • Assisting with general property and estate management tasks.
  • Utilities: Providing meter readings to utilities companies and liaising over invoices.
  • Management: Organising meetings with contractors and requesting quotes.
  • Health and Safety: Assist with the administration of compliance regulations, such as maintaining a list of suppliers' qualifications and public liability certificates.
  • Management of the property management software and inputting accurate data including gas safety inspections, lease renewals, rent reviews etc.
  • Reporting on key dates and KPI's using the property management software.
  • Organising routine and statutory repairs, such as gas safety inspections, fixed electrical tests and external painting.
  • With supervision, undertake property management including new lettings, lease renewals, rent reviews, end of tenancy matters, insurance, debtors, Budget preparation etc.
  • First point of contact for Residential Tenants.
  • Manage Tenancy Deposit Scheme.
  • Liaising with the Accounts team.
  • Liaising with central service functions i.e. H&S team, procurement etc.
  • Complete property inspections and participate in renovation projects.

Data and Technology

  • Maintaining the electronic filing systems and management systems.
  • Logging works/tasks in the property management system.
  • Driving the incorporation of new systems into the delivery of estate management (Tableau, New portfolio).

Office Assistance (when required)

  • Opening and distributing post.
  • Answering the phone, taking messages, and diverting task to the appropriate person in the team.
  • Completing tasks in MS Office such as mail merge.
  • Assist in the preparation of reports, schedules and minutes as required.


What you'll need to succeed

  • Experience in the management of residential tenancies and instructions to and management of repairs undertaken by contractors. Ideally renovation projects but not essential.
  • A basic knowledge of building construction.
  • Strong communication skills - including a confident telephone manner
  • Attention to detail and ability to keep accurate records
  • Organised and able to prioritise
  • Self-motivated and able to work unsupervised
  • Strong team player with excellent people skills
  • Strong IT skills including capability in Outlook, Word, Excel and PowerPoint
  • Positive and resilient attitude
  • Able to work in a small team (10 people) and on your own initiative.
